These Terms & Conditions (“Terms”) govern participation in and attendance at the Incredible Goa Awards – 6th Edition (“Awards”). By submitting a nomination, attending, or otherwise participating, each individual or entity (“Participant”) acknowledges and agrees to be bound by these Terms.
1. Definitions
1.1 “Company” means Goa Prism Digital Media, including its affiliates, officers, employees, contractors, and partners.
1.2 “Awards Management” means the Company personnel administering the Awards, including any third-party service providers engaged by the Company.
1.3 “Jury” means the panel(s) of internal/external evaluators empanelled by the Company.
1.4 “Nominee” means a Participant shortlisted as a finalist.
1.5 “Winner” means a Nominee declared as the recipient of an Award in a category.
1.6 “Submission” means all information, materials, and documents provided by a Participant, whether via online form, email, courier, or otherwise.
2. Eligibility
2.1 Participation is open to individuals and organizations meeting category criteria, subject to Indian law and these Terms.
2.2 The following are ineligible: (a) employees, directors, and officers of the Company, Jury members, event sponsors; (b) their immediate family members; and (c) any person/entity disqualified under applicable law or with criminal convictions involving moral turpitude.
2.3 Categories may carry additional eligibility requirements (e.g., domicile, period of operation, line of work). Awards Management may request proof of eligibility at any time.
2.4 The Company may, in its discretion, include meritorious candidates via suo motu nomination to ensure representation of notable work, without any obligation to do so.
3. Entries & Deadlines
3.1 Submissions must be made in English using the official nomination form and/or by email to [email protected], along with all required annexures and supporting documentation, by 15 September 2025, 18:00 IST.
3.2 Late Submissions may be considered at the sole discretion of Awards Management; no assurance is given.
3.3 Participants are responsible for ensuring complete and accurate filing. Incomplete or ineligible submissions may be rejected without review.
3.4 The Company is not responsible for delayed, lost, corrupted, misdirected, or improperly uploaded/emailled entries.
4. Fees, Taxes & Refunds
4.1 If a nomination or processing fee applies to any category, the same will be communicated on the official Awards page or by authorized communication.
4.2 Fees, once paid, are non-refundable, except if the Company cancels the Awards in their entirety before evaluation begins; in such case, the Company may, at its discretion, refund the fee paid by the concerned Participant.
4.3 All taxes, levies, or charges arising from participation, nomination, or receipt of any prize or consideration are the sole responsibility of the Participant/Winner.
5. Verification, Audit & Disqualification
5.1 Awards Management and/or its auditors may verify any information provided. Participants shall cooperate and furnish additional evidence, certifications, or references when requested.
5.2 If a Participant declines verification, provides misleading/false information, or fails to cooperate, Awards Management may disqualify the Participant or revoke any recognition at any stage (including post-ceremony).
5.3 If misrepresentation is discovered after conferral, the Winner shall return the trophy/citation and forfeit any monetary/non-monetary benefits, without prejudice to the Company’s right to seek damages and costs.
6. Shortlisting & Nominations
6.1 Entries may be collated and screened for completeness and basic eligibility before evaluation.
6.2 An initial screening panel and/or Jury may evaluate eligible entries against pre-declared or category-specific criteria to curate finalists (typically up to five per category, subject to category strength and Jury discretion).
6.3 The Company may contact shortlisted Nominees for clarifications, site visits (if relevant), or additional materials. Failure to respond timely may affect consideration.
7. Jury, Evaluation & Winners
7.1 The Jury’s composition and processes are determined by the Company. The Company may replace or augment Jury members at any time.
7.2 Jury members must adhere to the Awards’ confidentiality and conflict-of-interest policies. A Jury member with a material conflict in respect of a Participant shall recuse from evaluating that Participant.
7.3 The Jury will score and/or rank Nominees based on the evaluation rubric for the category. The Jury may seek expert inputs for specific domains.
7.4 No entitlement: Participation does not guarantee shortlisting or a win. The Jury may recommend no award in a category to preserve standards.
7.5 Finality: Jury decisions are final and binding. No correspondence or appeal shall be entertained.
8. Conduct, Integrity & Anti-Bribery
8.1 Participants shall not attempt to influence Jury/Company personnel. Any inducement, gift, or attempt to tamper with the process will lead to immediate disqualification.
8.2 Any public disparagement, abusive conduct, or unlawful act affecting the Awards or its stakeholders may result in disqualification and/or legal action.
9. Intellectual Property & Content Rights
9.1 By submitting materials, Participants warrant they own or have secured all necessary rights, clearances, and permissions, including third-party IP, image, and privacy rights.
9.2 Participants grant the Company a worldwide, non-exclusive, royalty-free, transferable license to use, reproduce, adapt, publish, broadcast, display, and distribute submitted content (including brand names, logos, and imagery) for Awards administration, publicity, archival, and editorial coverage in all media, perpetually (to the extent permitted by law).
9.3 Participants shall indemnify the Company against claims arising from infringement or unauthorized use of third-party rights in their Submissions.
10. Publicity, Filming & Use of Likeness
10.1 By participating or attending, Participants, Nominees, and Winners consent to photography, audio/video recording, and live/recorded broadcast at and around the event.
10.2 They grant the Company and its partners the right to use their name, likeness, biographical details, and factual information about their participation in connection with build-up, ceremony, and post-event publicity without additional compensation.
11. Privacy & Data Protection
11.1 The Company will process personal and business information for the purposes of administering, evaluating, and promoting the Awards and for related communications.
11.2 Information will be handled in accordance with applicable Indian data protection laws (including the Digital Personal Data Protection Act, 2023, as applicable).
11.3 Participants may write to [email protected] to exercise rights available under law, subject to statutory exemptions and the Company’s legitimate interests (e.g., record-keeping and audit).
12. Event Access, Credentials & Conduct
12.1 Entry to the Awards ceremony is limited to persons 18 years and above.
12.2 Unless otherwise specified in writing, one valid nomination entitles access for the primary nominee plus one guest. Credentials are non-transferable.
12.3 The Company and venue security reserve the right of admission and the right to remove any person for safety or misconduct without liability.
12.4 Attire, safety, and decorum requirements issued by the Company/venue must be followed. Participants are responsible for their travel, stay, and incidental costs unless expressly stated otherwise.
13. Changes, Categories & Event Format
13.1 The Company may add, modify, merge, split, or drop categories, criteria, or timelines based on response levels, market relevance, or administrative needs.
13.2 Venue, agenda, hosts, performances, partners, and show format are subject to change. Reasonable efforts will be made to communicate material changes on official channels.
14. Force Majeure
14.1 The Company shall not be liable for delay, rescheduling, or cancellation resulting from events beyond its reasonable control, including acts of God, weather, epidemic, governmental orders, strikes, civil unrest, or venue unavailability.
14.2 If the Awards are postponed or reformatted (e.g., hybrid/virtual) due to such events, prior nominations remain valid for the rescheduled format/date; no refunds or damages shall be due except as expressly provided in Clause 4.2.
15. Limitation of Liability
15.1 To the maximum extent permitted by law, the Company’s aggregate liability for any claim arising from or related to the Awards shall not exceed the greater of (a) INR 10,000 or (b) the nomination fee actually paid by the claimant to the Company for the relevant category.
15.2 The Company shall not be liable for any indirect, incidental, consequential, special, exemplary, or punitive damages, loss of profits/reputation, or business interruption, even if advised of the possibility.
15.3 Participants assume all risks associated with participation and attendance, including travel and on-site risks.
16. Indemnity
16.1 Participants, Nominees, and Winners agree to defend, indemnify, and hold harmless the Company, Jury, sponsors, and their respective personnel from any losses, claims, demands, damages, costs, and expenses (including reasonable legal fees) arising out of or connected with:
(a) breach of these Terms; (b) any allegation relating to the Participant’s Submissions, conduct, or misrepresentation; or (c) violation of third-party rights.
17. Communication & Notices
17.1 Official communications may be made via email or notices on the Company’s official websites or social channels.
17.2 Participants should whitelist and monitor [email protected] (and other addresses notified by the Company). Non-receipt due to spam filters or address errors shall not bind the Company.
18. No Partnership or Employment
18.1 Participation does not create an agency, partnership, joint venture, or employment relationship with the Company. No party is authorized to bind the other.
19. Governing Law & Dispute Resolution
19.1 These Terms shall be governed by the laws of India.
19.2 Arbitration: Any dispute arising out of or in connection with the Awards or these Terms shall be finally resolved by arbitration under the Arbitration & Conciliation Act, 1996 (as amended). The seat and venue of arbitration shall be Goa, India. The tribunal shall comprise a sole arbitrator appointed by the Company from a panel of independent arbitrators; proceedings shall be in English.
19.3 Subject to the arbitration clause, the courts at Goa, India shall have exclusive jurisdiction. Parties waive objections to the convenience of forum.
20. Miscellaneous
20.1 Amendments: The Company may amend these Terms at any time before or after the event. The latest version posted or communicated shall prevail.
20.2 Severability: If any provision is held invalid, the remainder shall continue in full force and effect.
20.3 No Waiver: Failure to enforce any provision shall not constitute a waiver of that or any other provision.
20.4 Entire Agreement: These Terms, together with category-specific rules and official communications, form the entire agreement between the Participant and the Company regarding the Awards and supersede prior understandings.

22. Acceptance
By submitting a nomination, attending the ceremony, or otherwise participating, you confirm that you have read, understood, and agree to these Terms & Conditions and any category-specific rules issued by the Company.
